Self Employment Portal is a freemium app built to help self-employed individuals in the United Kingdom manage earnings, expenses, mileage, and client records. We offer both free tier and Professional subscription services. This privacy policy explains what data we collect, why we collect it, how it's used, and your rights under UK data protection law.
1. Information We Collect
We collect the following types of personal and technical data:
- Email address - Used only for account authentication and legal notifications, including data breach alerts.
- Financial data - Earnings, expenses, mileage, and related financial entries provided directly by you.
- Client information - Names, contact details, and business information input by users to manage records.
- Receipts and invoices - Uploaded as images via your device's camera or photo library, with your permission.
- User ID - Shown in your app settings to aid support if you report an issue.
- Subscription and billing data - Including subscription status, tier information, trial periods, and RevenueCat customer identifiers for subscription management.
- Usage tracking data - Monthly usage counts for shifts, expenses, and clients to enforce free tier limits and track subscription conversions.
- App usage data and device metadata - Including performance metrics, user actions, and crash reports collected through Firebase Crashlytics, a tool provided by Google. Note: We do not use Firebase Analytics for behavioral tracking.
2. How We Use Your Data
We use your data to:
- Provide features that help track and calculate tax estimates (flat 20% rate).
- Display and organize your financial records and client history.
- Manage subscription tiers, usage limits, and billing through our payment processor RevenueCat.
- Track monthly usage to enforce free tier limitations and prompt upgrades when appropriate.
- Diagnose and resolve technical issues via crash logs.
- Understand app performance to improve functionality.
- Notify you in the event of a legal or security issue.
Important: We do not verify your inputs. Always consult an accountant before submitting figures to HMRC.
3. Analytics & Diagnostics
This app uses limited third-party diagnostic tools:
- Firebase Crashlytics — for error logging and crash reports only.
We do not use Firebase Analytics or other behavioral tracking tools. Any analytics mentioned in the app refer to your personal business metrics (earnings, expenses, etc.) that are calculated locally and stored in your account.

4. Data Storage and Access
- All user data is stored securely in Google Firestore.
- Images are also stored in Firestore unless deleted by the user.
- Error logs and diagnostics are sent to Firebase Crashlytics, provided by Google.
- Subscription data is processed by RevenueCat, our payment processor, according to their privacy policy.
- We do not share, sell, or rent your data to third parties beyond necessary service providers (Google, RevenueCat).
5. Subscription Data Processing
For Professional subscription users, we work with RevenueCat as our payment processor. RevenueCat handles:
- Subscription billing and management
- Trial period tracking
- Purchase validation
- Subscription status synchronization

6. Email Communication
We will only contact you via email in response to support requests or to notify you of legal obligations (e.g. data breaches). No marketing emails will be sent.
7. Business Model and Advertising
Self Employment Portal operates on a freemium model:
- Free tier with usage limitations (10 shifts, 5 expenses, 1 client per month)
- Professional tier (£1.99/month) with unlimited usage and premium features
- 7-day free trial for new Professional subscribers
We do not use third-party advertising or behavioral tracking for ad targeting.
8. Geographic Scope
This app is designed for users residing in the United Kingdom and adheres to UK tax and data regulations.
9. User Rights
Under UK GDPR, you have the right to:
- Access your personal data.
- Correct or delete data where applicable.
- Object to certain forms of data processing.
- Withdraw consent where processing is based on consent.
- Cancel subscriptions through your app store account.
10. Data Retention
- Financial data: Retained until you delete it or close your account
- Usage tracking data: Retained for billing and analytics purposes
- Crash logs: Automatically deleted by Firebase after 90 days
- Subscription data: Retained as required for billing and tax purposes
